Research permit

Please first familiarise yourself with the research permit rules and instructions available on Jamk’s Research Permit webpage. Please note that a research permit must always be applied for from the organisation that is the target of the research, project, or thesis.

When is a research permit required?

A research permit must be obtained for research, projects, or theses concerning Jamk University of Applied Sciences, its students, staff, representatives, or members, as well as for research projects or theses that require the disclosure of information held by Jamk.

A permit is not required for Jamk’s internal development work if it does not involve other research activities, such as publications.

If the research is related to an externally funded project to which Jamk has already committed, please contact us before applying for a research permit. In principle, Jamk’s commitment to the research is considered to have been established through its commitment to the project, and a separate research permit is therefore not usually required.

An exception is the disclosure of registry data, for which a research permit is always required.

A research permit must also be applied for when a member of Jamk staff is conducting doctoral research, another thesis, or independent research concerning Jamk, its operations, or otherwise involving Jamk’s staff or students.

Please note: If you are applying for a research permit from several organisations for the same purpose, you may not need to submit a separate application using Jamk’s research permit form. Instead, you may use a joint research permit application for all organisations. Ensure that the application contains information corresponding to that required on the individual application forms. Submit the signed application to the Jamk research permit email address. If necessary, verify the practices of the other participating organisations.

The processing time is approximately two weeks or less. During peak periods, processing times may be longer, and applicants will be informed separately if this is the case. Applications are not processed during general holiday periods.

Data Protection

This form is used to apply for a research permit from Jamk University of Applied Sciences in accordance with the instructions provided.

The form collects personal data required for the processing of the research permit application, decision-making, and any potential disclosure of information. The purpose of processing this data is also to ensure compliance with data protection and information security requirements related to research permits and the disclosure of information.

Research permit decisions, including the personal data contained in them, are archived in Jamk University of Applied Sciences’ electronic case management system for a period of ten years. The decisions are accessible to the parties concerned and to Jamk staff, with the exception of confidential attachments.

During the application process, personal data may be processed by the coordinator of the research permit decision, relevant parties involved in the matter, the person presenting the decision, and the decision-maker (the President or Vice President of Jamk). The legal basis for the processing of personal data is the legal obligation.

2. Supervisor, Commissioner and Jamk Contact Perso

Supervisor refers, for example, to the supervisor of a thesis or doctoral dissertation. The thesis supervisor must be informed in advance that a research permit application is being submitted.

Project manager refers, for example, to the principal investigator/researcher or manager of a scientific research project.

Commissioner should be provided if the research project or thesis has a separate client, commissioner, or contracting organisation.

Jamk contact person should be provided if the applicant already has a designated contact person at Jamk in relation to the research or its implementation. The contact person should preferably be informed of the research permit application in advance.

5. Attachments

Please ensure that all required attachments are included. The processing of the research permit application will not begin until all mandatory attachments have been submitted.

Please attach documents other than those specifically requested only if they are essential for processing the application. If possible, combine additional attachments into a single file.

Please note: A thesis plan does not need to be attached. It is sufficient that this research permit application provides adequate information about the objectives and implementation of the thesis.

Processing of the Application and Communication of the Decision

The research permit coordinator will receive the research permit application and, if necessary, request additional information from the applicant.

The processing time is approximately two weeks or less. During peak periods, processing times may be longer. Applicants will be informed separately if there are delays. For further information, please contact researchpermit(a)jamk.fi.

Information regarding the research permit decision will be sent by email to the contact person named in the application. In addition, the decision may be communicated, on a case-by-case basis, to other relevant parties, such as the thesis supervisor or the Jamk contact person.

The research permit coordinator will arrange any approved requests for personal data or registry information to be disclosed.

The decision and its appendices will be stored in Jamk's electronic case management system.
